Billing for Consultants in Deltek Vision
Vision offers several ways to bill the consultants on projects:
- No consultant billing
- Billing by account
- Billing by category
- Billing by vendor
- Billing as an expense
These billing methods utilize a billing rate table. In the tables, you can specify the markup for each line item. So, a structural consultant may be marked up at 15% while an mechanical consultant may be marked up at 20%. The tables allow you this flexibility.
The billing rate tables also give you the option to bill by category. Perhaps your project is utilizing several mechanical engineers but you don’t want their names on your invoice. You can choose to set up a category “mechanical engineers” and that is what would show on the invoice.
Another method of billing consultants is by a multiplier. This method can work a couple of ways. You can assign a table plus a multiplier. In this example, the structural consultant would be marked up 15% plus your multiplier stated in billing terms. A more common use of the multiplier is to not use a table but have a negotiated multiplier set for all consultants on a project.
Vision also offers you the option to display all consultant expense transaction detail (including transaction type, description, transaction date, vendor name, etc.).
Vision billing has the option to show the multiplier on the project’s invoice. This can be turned on and off by project, as needed.
Consultant Reporting:
On the project/expense detail report, one of the options is to show reimbursable consultant expenses as well as direct to project consultant expenses. This report offers the option to display consultant expenses separately from other expenses.

Visual Integrator Imports
We all know what awesome tool Visual Integrator is for moving data in and out of SAGE 100 ERP (formerly MAS 90/200). However, nobody talks about what if something goes wrong. To be certain, having a full Sage 100 backup is essential before importing any data but here is a trick that has helped me out in the past to delineate the imported data. A customer recently asked me to import some new customers into their AR Customer Master they had attained from trade fair. After completing a backup, we used Custom Office to create a new User Defined Field (UDF) on the AR Customer Master Table. During the VI Import, we populated that new UDF with 0312 for March 2012. This gave the customer a great method to delineate those new customers for future data mining and reporting.
Three weeks later that customer wanted to have BCS change the AR Customer Sort field to “Vegas 2012” on the imported customers. The job was made easier since there was already a method to segment those customers. Down the road, the customer will use that data for emailing specialized advertisement and catalogs.
You would also be able to use this method as a data correction. Maybe after the import, you find that the Price level is wrong for those customers, using Sage 100 ERP Visual Integrator, a job could be written to correct that data for only those customers.

How to Stay Energized in the Workplace
As some of my customers may know, prior to joining BCS I worked in the Health and Fitness industry. During that time I helped all my clients reach their weight loss goals and live healthier lifestyles. The majority of my clientele had sedentary jobs and would walk in after work for a session extremely tired. I use to say, “You sit down all day, how can you be tired?” As we all know now, it can put a damper in your health. I put together a few tips that helped them avoid fatigue and manage weight gain. You may not have a workout session after work, but you may need to go to the grocery store, pick the kids up from school, take them to practice and so on; and this may take place before you get home.
Try these tips to avoid that fatigue and weight gain…
- Park further away from the office or office door
- During lunch or breaks take a walk around the office or a walk outside.
- If applicable- take the stairs instead of the elevator.
- While at your desk stretch your arms, back and shoulders, stand up for a bit. This helps lengthen muscles, improves air pathways and deters bad posture.
- Try standing up when you’re talking on the phone.
- BREAKFAST- it was the most important meal of the day when we were kids and it’s still the most important as adults. It helps kick start your metabolism, thus burning fat through out the day.
- Try not to have a big meal during lunch – that’s the fastest way to get sleepy in the late afternoon
- If you can, keep granola bars, nuts, dried fruit and other snacks at your desk. A small, HEALTHY snack will help in keeping your metabolism going and will fight fatigue.
We never know what we’ll face when we come into work. I know that we won’t always be able to apply all of these items in our day, but the most important tip to take from this is to get up and move and be creative in making an effort to stay healthy in the workplace.
